CBSE Name and DOB Corrections: How School Offices Stop Errors Reaching the Marksheet

A misspelled name or wrong date of birth on a CBSE marksheet almost always starts in the school's own records. CBSE's LOC circular says the student's, mother's, father's and guardian's names and the date of birth must match the school's Admission & Withdrawal Register. So fix the register first, check the data verification slip each student gets after the LOC closes, and correct any error in the 2–4 November 2026 window. After that, CBSE says it will allow no more corrections. If an error still reaches the marksheet, the fix goes through the school, with complete, certified records from every school the student attended.

This guide for exam in-charges and office staff follows two CBSE circulars: the LOC circular of 17 September 2026 and the 23 September 2026 circular on corrections in demographic details.

What did CBSE's 23 September circular say?

CBSE wants the Mark Sheet-cum-Passing Certificate issued with correct demographic details. It lists the checks already in place: correct details in the admission form, scholar register, admission & withdrawal register and transfer certificate; Class 9 registration certified by parents and the school, with a correction window and a registration card for students to check; the same data shown again for the LOC in Class 10, verified with parents, with another correction window; and an undertaking on the admit card from the student, parent and principal. The steps repeat in Classes 11 and 12. CBSE counts about 20 chances to get the details right, yet it still gets a large number of correction requests as soon as results come out.

It then directs schools to ensure details are 100% correct in all school records, follow CBSE's registration and LOC instructions strictly, get parents' confirmation that the details are correct, and send certified records from all previous schools with any correction request. Incomplete requests will be summarily rejected.

What are the dates for this year's slip and correction window?

According to the LOC circular for 2026–27:

| Step | Date | |---|---| | LOC without late fee | 24 Sept – 21 Oct 2026 | | LOC with late fee (₹2,000 per candidate) | 22 – 30 Oct 2026 | | Data verification slip | Generated by the school for each candidate after the last date | | Correction of names, DOB or subject found wrong on the slip | 2 – 4 Nov 2026 | | After 4 Nov | "No correction will be allowed by the Board" |

That's a three-day window. Plan the slip check before it opens, not during it. If the LOC isn't finished yet, our CBSE LOC checklist for the school office covers the submission itself.

How do you stop the error before it reaches CBSE?

  1. Treat the Admission & Withdrawal Register as the reference. If a name is spelled one way in the register and another way on the birth certificate, settle it now, in writing, before the slip arrives.
  2. Check the parents' names, not just the student's. The slip covers the mother's, father's and guardian's names too, and they're easy to skim past.
  3. Send each family its slip. Ask parents to check it letter by letter and confirm in writing. CBSE asks schools to get parents' confirmation.
  4. Collect corrections with proof. Note each wrong field, the correct value and the supporting document.
  5. Enter corrections early in the window, not on 4 November, and update the register and any certificate copies on file so the next document doesn't repeat the mistake.

How do you fix a name or DOB after results?

The 23 September circular describes what goes wrong with these requests: incomplete requests, missing records from previous schools, documents that can't be read, documents with many cuttings, and schools that don't reply when CBSE asks for more papers. Each one delays the case.

So when a student or parent reports an error after results:

  • Route it through the school. CBSE asks schools to steer students away from writing to the board directly, legal notices or court, because those routes delay decisions without the school records.
  • Send a complete, legible set. Certified records from every school the student attended, clean copies, no cuttings.
  • Name one person to answer CBSE, and reply promptly if the board asks for documents.

The circular does not set out a form, fee or timeline for post-result requests. Check the current procedure with your CBSE regional office before you send anything.

Where does a student master record help?

Most mismatches come from the same student being typed into several registers and sheets over the years. One clean student master record, with name, date of birth and parents' names entered once and corrected in one place, helps keep those details consistent. ConnectEdu keeps student records in one place; it doesn't submit the LOC, generate the data verification slip or make corrections with CBSE.

Checklist for the next three weeks

  • Finish the LOC by 21 Oct (no late fee) or 30 Oct (with late fee)
  • Compare names, parents' names and DOB in the LOC with the Admission & Withdrawal Register
  • Settle any register-vs-certificate mismatch in writing now
  • Get written confirmation from every Class 10 and 12 family
  • Log each error with the correct value and proof
  • Enter all corrections between 2 and 4 Nov, as early as possible
  • Update the school register and certificate copies to match
  • For post-result cases, collect certified records from every previous school before applying

Frequently asked questions

Which record decides the correct spelling of a name for CBSE?

The school's Admission & Withdrawal Register. The LOC circular says names and date of birth must match it.

When can we correct a name or DOB in this year's LOC?

Before the LOC's last date, the school can correct its own data; the circular says a name correction carries no fee. After the last date, errors found on the data verification slip can be corrected from 2 to 4 November 2026. After that, CBSE says no correction will be allowed.

Can a student apply directly to CBSE for a marksheet correction?

CBSE asks schools to guide students to process requests through the school. Direct requests, legal notices and court cases delay decisions because CBSE doesn't have the school records.

Does ConnectEdu correct data with CBSE?

No. ConnectEdu helps your office keep one consistent student record. LOC submission, the data verification slip and corrections stay on CBSE's systems.
